OLD BUSINESS
Tickets for the rifle raffle have been made. Kareene will get the file to Heather so she can email tickets to members who cannot attend the meetings to pick them up. Drawing will be @ our October meeting.
Memberships are due as of January 1st. If you have not paid your dues, please do so and note the new mailing address.
Kim had made a flyer for us to hang up at area businesses. She will make a new flyer for us each month and we will each try to post 1 in a good location. The file is available by email; if anybody would like to print 1 off- contact Heather hrmp1984@yahoo.com
We worked more on our calendar. All events are posted on our 2010 Calendar section of the website.
We did not go over any by-law changes at the meeting as we ran out of time. That will be on the agenda for the March meeting.
NEW BUSINESS
We voted on adding Horseman’s Insurance to our club. The MT State Polo Association had wanted to pursue having each active polo club in MT pay into this insurance for coverage at each event. It is only spectators insurance and the LSC already has spectators insurance on our grounds. Due to this and numerous other reasons, we voted against paying into the Horseman’s Insurance.
Wayne and Kareene have been working on finding the old Sheriff’s Posse tax ID number. Wayne has found the number and we now need to decide if making the change over to the Posse would be better for the club. There is a lot of paperwork to fill out and we need an attorney or CPA to help us. Cortney knows a CPA she can consult with on this issue. She will visit with him and see if this change would even be worth it for our club. We believe that if we change over to the Posse, we can possibly save our club some bills each year, and would therefore have more money to put back into our club.
We discussed advertising our events on Craigslist this year as it’s a free service. We will post each event/fundraiser on Craigslist to hopefully get more attendance at our events.
We have sign sponsorships coming due in May & June of this year for Stockman and Yellowstone Banks. We also have still not gotten back in touch with Billings Clinic about their past-due sign sponsorship- we have had a different member working on this project previously. Cortney will get in touch with Billings Clinic and Heather will make out invoices & letters to send to the 2 banks.
We would like to try to get more sign sponsorships this year. In previous years we have has a Board member in charge of Promotions but that position was dropped because we could not get anybody to fill it. We have some new businesses in Laurel that might be interested in a sign advertisement on our arena. Kim & Kevin will approach a few local businesses with this idea.
We discussed possibly selling rollup banner signs to businesses to purchase. We would put the banners on the arena on a per event basis. The fees would be less for the business and might be more appealing because of that. Cortney will ask Dynamic Design how much they would charge us for making these signs. We will vote on that matter next meeting. Heather will also check with Solo Graphics for prices and to double check prices on any new permanent signs we may sell.
